PUBLIC NOTICE

Request for Proposal: FY 2026 Fuel Cost Supply and Management Services

Introduction:
The Jefferson Davis County School District (JDCSD) is soliciting proposals from reputable fuel suppliers to provide diesel and gasoline fuel for its transportation vehicles and fleet of approximately 30 school buses. JDCSD is committed to ensuring the efficient and cost-effective operation of its transportation department while adhering to the state of Mississippi guidelines. To that end, we invite qualified suppliers to submit proposals for the supply and management of fuel, including the installation of two new industry-standard diesel and gasoline fuel tanks on-site.
Scope of Services:
• Fuel Supply: The selected vendor will be responsible for supplying both diesel and gasoline fuel to our on-site fueling station. Fuel will be delivered monthly and billed in accordance with the U. S. Energy Information Administration (EIA.gov) varying base fuel cost and your entity’s percentage above the same.
• Fuel Management: The vendor will provide a system for accurate tracking and reporting of fuel consumption for each vehicle in our fleet. This system should allow for efficient data collection and analysis to assist in budgeting and decision-making.

Proposal Requirements:
Interested vendors are requested to submit the following information:
• Company Profile: Provide a brief overview of your company, including years of experience in fuel supply and management services.
• Fuel Supply Proposal: Detail the pricing structure for both diesel and gasoline fuel, including the percentage above the varying base fuel cost. Please specify the method of billing and any additional charges that may apply.
• Fuel Management System: Describe the fuel management system you will provide, including its capabilities for tracking fuel consumption, generating reports, and facilitating efficient data management.
• References: Include references from similar projects that demonstrate your ability to meet the requirements of this RFP.
• Compliance: Confirm your commitment to complying with all state of Mississippi guidelines and regulations pertaining to fuel supply and management services.

Evaluation Criteria:
Proposals will be evaluated based on the following criteria:
• Pricing competiveness and transparency.
• Capabilities and reliability of the fuel management system.
• References and track record of successful projects.
• Compliance with state regulations and guidelines.

The Jefferson Davis County School District reserves the right to accept or reject any proposal, to waive any informalities or irregularities in the proposals received, and to negotiate with any qualified source.
